Description

The primary purpose of this position is to assist the middle school principal and middle school assistant principal and to ensure smooth continuity in the school office with office functions and school personnel.

Responsibilities

  • Receptionist for middle school office (initial parent contact).
  • Maintain attendance records for all middle school students and faculty.
  • Help manage calendar for the middle school principal.
  • Assist with relaying middle school announcements.
  • Maintain an active list and contact qualified substitutes for teachers who are absent.
  • Produce or edit correspondence to faculty or parents for middle school principal.
  • Liaison with the athletic department (i.e., notifying students of changes/cancellations in practice/game schedules). 
  • Liaison with the admissions department (i.e., shadowing students, and maintaining documentation for middle school students.)
  • Coordinate and maintain files on all middle school social activities during the year. Serve as contact person for middle school parent volunteers.
  • Serve as middle school office manager and order/obtain supplies for the middle school.
  • Liaison with the physical plant for reporting all facility maintenance/custodial needs.
  • Coordinate start-of-the-year tasks such as student and teacher schedules, additional teacher duties, schedule student domestics schedule, class rosters, maintain teacher supply closet, printing expendable forms for teachers and office.
  • Coordinate end-of-the-year activities (8th grade promotion, special events, etc.).
  • Perform other related duties as requested by the middle school principal.
  • The ideal candidate will display flexibility, initiative, dedication, and a willingness to help manage the daily operations of the middle school of Ben Lippen. 

Qualifications

  • Because of changing school schedules, unexpected “interruptions,” in the day and the variety of tasks done in the office, the person in this position should be even tempered, flexible and gracious. 
  • As part of the office team, this person will be called on to fill a number of roles.
  • Organized and self-initiator.
  • Flexibility a must; ability to work on several projects at the same time, yet remain available to assist with unscheduled situations that may arise. 
  • Proficiency in written and oral communication.
  • Ability to discern and maintain confidentiality is a must.
  • Proven copier, telephone and intercom skills.
  • Experience with MacBook, Microsoft, Google Suite, RenWeb.
  • Attention to detail and event planning very important.
  • Administrative assistant experience beneficial.
  • Minimum high school diploma; bachelor’s degree recommended.
