Faculty Administrative Assistant

The Faculty Administrative Assistant provides support to the Seminary faculty. The role includes day-to-day responsibilities as well as short- and long-term projects.


Manage the Faculty Office:

  • Create a friendly and helpful environment for faculty and students.
  • Maintain office and instructional supplies.
  • Maintain electronic files of all residential and online syllabi.
  • Update directory boards in each building.
  • Assist in planning Christmas/End-of-the-Year parties and Commissioning services (December and April).
  • Organize logistics for outside group events for the clinical counseling area.

Provide secretarial support to SSM faculty members:

  • Prepare updated listing each semester of advisees.
  • Prepare and update planning calendars for each semester.
  • Assist in preparing course materials.
  • Make appointments and schedule committee or task force meetings as necessary.
  • Attend SSM faculty meetings recording and distributing minutes.
  • Review and format syllabi as necessary.
  • Serve as liaison with the virtual bookstore, uploading books for faculty as needed.

Assist guest and adjunct faculty:

  • Facilitate communication with guest and adjunct faculty in consultation with the Dean.
  • Assure that guest and adjunct faculty files are complete.
  • Assist in preparing course materials.
  • Insure that guest and adjunct faculty travel and accommodation arrangements are reimbursed in an appropriate and timely manner.
  • Prepare PAC’s or check request forms for payment of honoraria and reimbursement of expenses.
  • Assist as needed during week-long intensive courses.



  • Able to create and maintain a positive and service-oriented office environment.
  • Familiar with CIU’s ministry and academic environment, principles, and procedures.
  • Possess good computer skills, including word processing, spreadsheets, and e-mail communication software.
  • Able to operate copiers, scanners, phone systems, and fax software.
  • Able to communicate effectively, maintain confidentiality, and act wisely and decisively with minimal supervision.
  • Bachelor’s degree or higher.
  • At least two years of office experience.
