The Assistant Registrar for Courses and Registration is responsible for maintaining course schedules and the course catalog; maintaining the academic calendar; setting up refund dates; reserving classrooms; troubleshooting registration problems; registering/withdrawing students as needed; having a working knowledge of related policies and procedures; providing quality service to faculty, staff, current students, alumni, and external constituencies; handling front-office duties in the absence of an office manager.


The Assistant Registrar must be a team player actively contributing to the success of the department as a whole, be willing to work in cross-trained areas and with other departments within the University setting.

Primary Duties:

  • Computer coding and set up for new academic year including, courses, registration, semester start-up services and working within our intranet and with internet including forms;
  • Maintaining the course catalog;
  • Setting up the Academic Calendar for each year, determining refund dates, and publication in accordance with university policies;
  • Providing essential management and support for the formation of the annual course and registration schedule;
  • Building/coding the course schedules for each term;
  • Assisting students, faculty/advisors with any registration issues and registering students manually as needed;
  • Assisting auditors each term;
  • Reserving classrooms for all constituents as needed throughout the year;
  • Collecting attendance each term;
  • Administratively dropping students from courses based on initial attendance;
  • Withdrawing students from courses/university, as needed;
  • Transcript request processing;
  • Assist and work with other University departments in the review and updating of annual academic catalogs;
  • Maintaining standard operating procedures and policy manuals specific to responsibilities;
  • Implementation of commencement communication flow;
  • Submit reports to governmental agencies and the National Student Clearinghouse;
  • Understand how registration and record processes integrate with and affect the processes of other University departments.

Policies and Procedures:  Understand and apply policy and procedures related to:

  • Family Educational Rights and Privacy Act [FERPA];
  • American Association of Collegiate Registrars and Admissions Officers [AACRAO] records retention guidelines;
  • Catalogs, curricular requirements and policies/procedures of all schools within the University;
  • Registration and records functions of the University Registrar’s Office;
  • Accreditation requirements [ABHE, ATS, SACSCOC, and CACREP];
  • Department of Education standards necessary to support the Financial Aid office; and
  • Compliance requirements for the NAIA.

Customer Service:  Provide on-call, quality assistance to faculty, staff, current students, alumni and external constituencies in areas such as:

  • Registration, enrollment verification, and website information;
  • Academic petitions, faculty directed studies, and transfer credit;
  • Granting third party access to student records, FERPA restrictions and releases,
  • Graduation, grades, transcript requests, room reservations, and telephone call/email routing, etc.

Project Management:  Execute tasks in areas as assigned such as:

  • Attend faculty and staff meetings and other duties as assigned;
  • Assist and work with other University departments in the review and updating of annual academic catalogs;
  • Data accuracy verification and clean-up;
  • Commencement planning and ceremonies.


  • Ability to coordinate work with other employees.
  • Ability to organize work effectively, conceptualize and prioritize objectives, and exercise independent judgment based on an understanding of organizational policies and practices.
  • Ability to establish and maintain effective work relationships with students, faculty, staff, and the public.
  • A broad knowledge of database functions including accuracy in data entry, data reports, and word processing;
  • Utilize a broad range of communications tools with a commitment to clear communication to both internal and external constituents.
  • Ability to prioritize projects based on administrative processes and academic cycle. 
  • Commitment to professional integrity, including knowledge of and commitment to upholding federal guidelines regarding confidentiality of student academic information.
  • Commitment to maintaining best practices in service, innovation, and efficiency.
  • Commitment to a collaborative work environment.
  • Attention to detail is required.
  • Office experience.
  • Experience in Jenzabar One and web information management helpful but not required.
  • Bachelor’s degree and computer experience required; Master’s degree preferred.
