Description

The Accounting Specialist has primary responsibility for maintaining all undergraduate on-campus student financial records and collections, managing student payment plans and processing payments, overseeing all undergraduate on-campus student account billing, and performing duties related to student accounts. 

Responsibilities

  • Provide front-line customer service to all accounting department visitors internal and external.
  • Assist students and parents with questions pertaining to the student account while staying in compliance with FERPA (Federal Educational Rights Privacy Act).
  • Maintain a good working relationship with financial aid, registrar, and student life to better assist students with questions and concerns.
  • Manage student accounts receivable process.
  • Responsible for accuracy and completeness of undergrad student accounts.
  • Review and post all journal entries from online student payment portal.
  • Monitor student payment plan accounts, contact students who have underpaid/overpaid and adjust as necessary; process student refunds as needed.
  • Perform student account collection activities including email and phone follow-up.
  • Assist with orientation/check-in process and CIU move-in days for all new and returning students.
  • Receive, verify, and receipt departmental income.
  • Work closely with financial aid to process all in-state and out-of-state pre-paid plans and vocational rehab payments and assist in processing VA payments.
  • Disburse and audit annual/short term petty cash to CIU and Ben Lippen departments; reconcile annual petty cash at fiscal year-end.
  • Monitor accounting department mailbox and answer all applicable emails within 24 hours.
  • Close daily activity including balancing cash to general ledger, preparing remote bank deposit, reconciling daily journals from student payment portal, and posting daily activity.
  • Assist with recording of gift income as it is submitted to accounting. 
  • Assist with 1098-T review and process.
  • Assist with reconciliation of minor bank accounts.
  • Assist with other duties as assigned.

Qualifications

  • Must have general knowledge of accounting procedures.
  • Proficient in Excel, Word, Outlook, Treasury Navigator, Nelnet and Jenzabar EX software.
  • Must have excellent oral and written communications skills.
  • Must demonstrate people skills to work effectively with students, parents, co-workers, and the general public, exhibiting customer focus and initiative
  • Must be able to multi-task and complete responsibilities independently with a high degree of accuracy and attention to detail.
  • Must be capable of meeting deadlines.
  • Must be goal oriented.
  • Bachelors degree in accounting, business administration, or equivalent experience. 
  • Minimum of one-year experience in related position.
